Send Automatic Text Reply to missed calls so you never miss out on business again in just 3 steps!
Hey guys, what’s up?
It’s christine Seale,
the high level queen.
And in this video I’m going to show you
guys how to automatically text back your
missed calls so they know that you
are going to call them back soon.
And we’re going to do this
in just three easy steps.
So let’s get started.
For those of you guys who don’t.
Step one, it’s important
to explain call statuses to you.
And basically the little caveat with doing
this is that when
someone calls and gets your voicemail
in reporting call reporting,
it’s actually going to say that the call
was answered and that you need to know
because if you’re setting up a missed call
text back, it’s actually going to count
as answered if they get your voicemail.
So it’s not going to work in that case.
And I think the team is working
on a solution for that.
But for now, that’s the way it is.
So that’s the first caveat of this.
And then step two, what you’re going to do
is you’re going to create a workflow.
So this is the new
method that you can use.
So I’m going to go ahead and go in my test
folder and I’m going to create a workflow.
And once this pops up, there’s a couple
of different paths we can take.
So if you already have an old campaign
that you want to transfer to workflow,
you would pick it in this
drop down box right here.
I’m just going to go ahead and show you
what it looks like
to start it from scratch.
You want to create your trigger first.
So here you’re going to search for
call status.
Then you’re going to add a filter.
Call direction is incoming because for all
the calls that come in,
then your call status is going to be busy,
no answer and voicemail.
And this is up to you.
But this would be
just if they got any one of these,
then we’re going to proceed
to send them the text.
And then you can also if you want to get
fancy, you can filter by phone
number or number pool if you desire.
So I’m going to click on Save
and my action
I’m going to create is going to be send
SMS and be like, hey,
sorry I missed your call.
But another thing that I’ve seen is
my boss is on another line and will
call you back shortly or
something that works really well in home
services is, hey,
it’s really noisy at the job site.
Let us know what you need and we
will get back with you soon.
Okay?
Something like that.
That just kind of starts the conversation
and gets them to reply to you and then
we’re going to save it here.
And you can check your stuff
and everything like that.
There you can add files, attachments,
you can send the test
phone number or whatever.
So we’re going to go ahead and say,
Miss Hall type
I’m going to go ahead and name it.
Then the way that you test this is you’re
going to call yourself
but another caveat,
second caveat is if you are forwarding
your high level number to your cell phone
and you use your cell phone to call your
high level number,
it’s not going to work, right?
So make sure that you use a Google Voice
number and make sure that you check your
conversations and that DND is off as well.
Because when I test my own contact was
on DND and so I had to turn off DND.
And then you can also
check the history here.
And if you need to bump it forward,
you use the little running man guy.
Okay?
So what we’re going to do is I’m going
to test it live on the call,
my wife itself, okay?
So if that worked,
if you used your Google Voice number,
you should get an automated text.
And sure enough, I just got a text on my
phone, hey, my boss is on another call.
So that’s how you set up
an automated call text back.
And you can use this for all kinds
of awesome things
so that you don’t lose business just
because you’re too busy
to answer the phone.
And I want to show you
a super quick shortcut.
If you are short on time,
you click Create on Workflow and you can
just simply click this auto mist called
text back to create your workflow.
There.
Click the green button.
And this is a little slightly more
complicated version of what I just showed
you, but it shows you the possibilities
are really endless here.
You can add in a delay,
you can assign it to a user.
You can add a tag that says Missed Call.
You can notify the assigned user here
via high level notification cell phone.
And then this is the SMS
that you’re sending.
And that’s it.
